PLEASE BE SURE TO READ ALL RULES BEFORE APPLYING TO CONJUTSU EXHIBITIONS.
All Exhibitors must comply with all local, state, and federal laws, and will not hold Conjutsu’s management liable for any breaches, losses, injury, or damage to themselves or their property. All exhibitors agree Conjutsu and all of Conjutsu’s staff members are not held accountable for any loss, damage, theft, expenses, claims, or actions arising from any personal or property damage, loss, or theft due to the exhibitors participation in Conjutsu. Exhibitors should take the needed measures to safely cover their items before they leave their booths at any times. Exhibitors are responsible for their own security during and after show hours.
Identification
All exhibitors must show a government-issued, photo ID to exhibit at Conjutsu. If an exhibitor fails to produce a valid ID at check in their table(s) will be held until 10:00 AM on Saturday, and then the table(s) will be considered unclaimed and open for sale on a first-come first-served basis.
Accepted forms of ID include, but are not limited to the following:
- A state driver’s license
- State-issued identification card
- A passport
- Military ID
Artist Alley Rules
Fanart may take up a maximum of 75% of the display space, and the other 25% must be original art.
- Applications for Conjutsu’s Artist Alley are open October 1st, 2024 and will remain open until August 14th, 2025 or until space is no longer available for purchase.
- There are a couple sections of Artist Alley that is in open space sections and one area in a lockable section. For Exhibitors in the open space section please take items back to your hotel room at the end of the night. For Exhibitors in the lockable space section it will be locked at a time all Exhibitors in the room agree on. If no agreements can be made the room will be locked before artist performance hours.
- Artist Alley tables are $150.00 plus tax, and processing fees.
- One 6 foot table with up to two chairs.
- Purchase of only one (1) extra table can be made for $150.00 plus tax, and processing fees with written approval from Conjutsu. Purchases made of this sort without first getting approval from Conjutsu will possibly be denied.
- Any and all badge/table purchases are nonrefundable.
- Any structure brought to display artwork must be of sound construction and may not extend more than 5 feet above the table or a total of 8 feet from the floor.
- If your display sits on the floor (such as a backdrop stand) the base’s legs may not be more than 3 feet from the back of your table, and must not disrupt attendees walking space in the front of the table.
- You must comply with the 75/25 Fan Art Policy.
- Fan Art is defined as artwork based on popular works of fiction (such as books, movies, celebrity likenesses, etc.) that is created by fans. When displaying fan art, artists must respect the source’s trademarks. This includes but is not limited to avoiding things such as the use of logos in their display, signage referring to the artwork by its series, or signage referring to a character’s name.
- Items made using licensed fabrics or materials used under first sale doctrine are considered fan art. Items that fall under first sale doctrine may include but are not limited to the following: stickers, comics, wall scrolls, manga, etc.
- Any artwork containing a protected license created by the copyright holder, under commission of the copyright holder, or within the terms of a license agreement will be considered original artwork. If your work falls under one of these categories please be sure to have copies of all appropriate paperwork on hand.
- Original art is any artwork considered to be the first authentic example of an artist’s piece.
- Space sharing is permitted, but the secondary sharer of the space has to fill out the form on the Exhibitor Registration Page. The purchase of a Artist Alley badge and Exhibitor Table Sharing purchase is required for the shared table (both badges will say Exhibitor). The Exhibitor Table Sharing is $50.00 plus tax and processing fees. You must contact us to get approval before purchasing the “Exhibitor Table Sharing badge”.
- For adult materials please keep this in mind when setting up your displays. Any materials which are sexually explicit, extremely graphically violent, or otherwise unsuitable for children must be displayed in a manner that keeps minors from seeing them. If any of these materials are found left out in the open, or any of Conjutsu’s staff receives complaints the Exhibitor will be asked to remove the material without any questions. If any Exhibitor sells inappropriate materials to minors, they will be removed from Conjutsu and blacklisted from all future events. They may also be held accountable under Virginia laws. To avoid this from occurring please ask for an ID before showing such artwork/items.
- There’s no selling of any kind of weapons. The only exceptions are cosplay props that are plastic, and do not fire out any size of real ammunition (if it can pierce through paper it is not safe or allowed).
- Subletting space is not allowed at any time for an Exhibitor to sell or rent their space to another Exhibitor within the Artist Alley or Dealers Rooms. If an Exhibitor is found subletting at any time both of the Exhibitors who registered the space, and the person occupying the space will be evicted from the space immediately with no refunds.
- Transfer of tables is not allowed each table is registered to the Exhibitor at purchase. No purchased table may have ownership of the table moved to another Exhibitor. If you need to opt out of your table, please notify Conjutsu or Conjutsu staff to make the table available to the wait-list. Please note that any and all table costs are nonrefundable.
- Unsold tables will be offered for sale one (1) hour after all Exhibits are open Saturday on a first come first sever basis. The rate for these tables will be the regular table rate depending on the location of the table.
- Abandoned tables cannot be reclaimed, and neither credit nor refund will be given for future dates. If an Exhibitor fails to check in for their table by 10:00 AM Saturday or Sunday, and does not contact Conjutsu in advance their table will be considered abandoned. At that point their table will be offered for sale at the regular rate on a first-come first served basis.
- By making your purchase of your badge/table for Conjutsu you agree to all of these rules, Virginia laws, Conjutsu, and Hotel policies.
Dealer’s Room Rules
- Applications for Conjutsu’s Dealer’s Room are open October 1st, 2024 and will remain open until August 14th, 2025 or until space is no longer available for purchase.
- The Dealer’s Room is in a lockable space, which will be locked at a time all Exhibitors in the room agree on. If no agreements can be made the room will be locked before artist performance hours.
- Dealer’s Room tables are $200.00 plus tax, and processing fees.
- One 6 foot table with up to two chairs.
- Purchase of only one (1) extra table can be made for $200.00 plus tax, and processing fees with written approval from Conjutsu. Purchases made of this sort without first getting approval from Conjutsu will possibly be denied.
- Any and all badge/table purchases are nonrefundable.
- Exhibitors must keep their displays to the boundaries of their table or behind it.

LOAD IN AND LOAD OUT TIMES
Hours are subject to change. In the situation where the following information changes an update will be given to all Exhibitors accepted into the room/space. No Exhibitor is to start setting up without the okay from staff and ID checked. Loading in and out of the hotel can be either from the front or back. Please be cautious of hotel guest. If there is a bus of hotel guest entering into the front please load in from the back of the hotel.
Hours For Setup/Breakdown
- Friday: 9:00pm-2:00am (setup)
- Saturday: 7:00am to 8:55am (setup) and 8:00pm Dealer’s Room breakdown) 8:00pm-11:30pm (Artist Alley breakdown)
- Sunday: 7:00am to 8:55am (setup) and 8:00pm to 2:00am (breakdown for all Exhibitors) Please note that all Exhibitors must be out by 2:00am.
